Responsibilities
- Assist in creating customized travel itineraries for luxury clients
- Coordinate flight, accommodation, and ground transportation bookings
- Communicate with clients to gather preferences and feedback
- Liaise with hotels, tour operators, and local guides
- Monitor travel advisories and update plans accordingly
- Prepare detailed trip dossiers and briefing materials
- Track client budgets and manage expense records
- Respond to client inquiries in a timely and professional manner
- Handle last-minute changes or travel disruptions
- Maintain accurate client profiles and travel histories
- Ensure all arrangements align with stated preferences and dietary needs
- Collaborate with senior coordinators on complex trips
- Research destinations to recommend unique experiences
- Verify visa requirements and document readiness
- Support post-trip follow-up and satisfaction surveys
- Manage calendar coordination across multiple time zones
- Organize pre-trip client calls and onboarding sessions
- Track vendor performance and reliability
- Update internal databases with real-time booking changes
- Adhere to company standards for luxury service delivery
Nice to Have
