Join a forward-thinking team as a Remote Project Coordinator, where your role will be central to maintaining efficient project workflows and strong client relationships. You'll act as a key point of contact, managing communication between internal teams, technicians, and clients, primarily in English and Spanish. Your responsibilities will include scheduling field appointments, handling inbound and outbound calls, and ensuring all project documentation is accurate and up to date.
What You’ll Do
- Respond to incoming calls with professionalism and clarity, providing timely support to clients and internal staff
- Proactively schedule and coordinate field activities, aligning technician availability with client and homeowner needs
- Enter and maintain project data in digital systems, ensuring accuracy and accessibility across teams
- Prepare and track work authorizations and project documentation to support compliance and workflow continuity
- Manage administrative tasks such as file organization, meeting coordination, and follow-up on action items
- Support client satisfaction by maintaining clear, consistent communication via phone and email
What We’re Looking For
- At least two years of experience in project coordination, administrative support, or a similar role
- Experience managing multiple tasks and deadlines with strong attention to detail
- Familiarity with project management frameworks including Agile, Waterfall, or Scrum
- Hands-on experience with tools such as Asana, Trello, Jira, Monday.com, or Microsoft Project
- Proficiency in Excel, Google Sheets, and other data reporting platforms
- Excellent interpersonal and communication skills, with a focus on building trust and resolving issues
- English proficiency at B2 level or higher; Spanish language skills are a strong advantage
- Proven ability to work independently in a remote environment with a reliable internet connection and dedicated workspace
